A proposed schedule schema with item identifiers, source verification, alternates and approval status; no invented supplier specifications.

An FF&E handover should let the recipient identify each item, locate it, understand its current selection state and find the supporting information. It should also say what the recipient is authorized to do next.

This proposed checklist focuses on transferring furniture, fixtures and equipment information for documentation or review. It does not authorize purchasing, substitutions or installation.

Separate item identity from transaction identity

Keep the project item code, manufacturer reference, schedule revision and any quote or purchase reference in separate fields. They answer different questions and need not contain matching numbers.

Record where information is unavailable. Do not fill a missing dimension, lead time or product reference with a plausible value.

Hypothetical example: the image and product code identify different options

In this fictional lounge schedule, item L-014 has the selected product code for Chair A, while its image still shows the earlier Chair B option.

The reviewer records the mismatch and asks the selection owner which supporting record is current. The production author corrects the documentation only after that direction is clear. The image is not used to infer an unrecorded substitution.

The checked handover then identifies the selected item and any remaining procurement questions. A completed documentation row does not mean an order has been placed.

Control what each recipient sees

Send the relevant supporting files with their identities intact. A shortened review export should state its scope rather than appearing to be the complete procurement record.

Before closing the handover, identify missing records, unresolved selections and the assigned response owners. For an item change, trace the affected locations and documents instead of updating only the image.
