Agree the labels with the external drafting team before the first review set. This article proposes a project workflow rather than an official Bluebeam status standard.

Confirm the environment before configuring statuses

Check the Revu version, subscription and actual review environment used by both teams. Bluebeam's current custom status instructions list supported plans, distinguish status models from individual states, and explain creating a custom model. Follow the documentation matching your installation.

Do not assume that a label is available just because another project used it. Test the proposed setup on a non-live sample PDF and confirm that both sides can see the intended states and history.

Map each proposed state to an action

These are optional labels to adapt, not claims about Revu's default states. Do not use color alone to carry meaning: make the state name and related explanation available to the recipient.

Keep issue identity, drawing revision, owner and decision reference alongside the state. The architectural redline tracker provides a companion register when the markup alone does not contain sufficient context.

Back-check the drawing, not only the list

Bluebeam's back-checking guidance describes navigating from list entries to markups and inspecting status history. Use that history as evidence of recorded actions, not as an independent design approval.

For each submitted item, compare the agreed instruction with the returned sheet and any specifically affected references. Record a discrepancy instead of marking an item confirmed merely because its text says “done.”

Hypothetical example: a question was mistaken for an instruction

In this fictional review, M-028 asks, “Should the drawing title match the presentation title?” The drafter puts it in Question open and identifies the review lead as the next owner. No title is changed yet.

The lead records the required wording and affected sheets. M-028 can then move to Ready for pickup, followed by Submitted for check with the returned revision. The reviewer compares the wording and records the outcome.

If two reviewers supply incompatible answers, use the conflicting-redlines decision log. Moving the markup to a different color will not resolve the choice.

Finish with a handoff everyone can interpret

Send the agreed review set, its status definitions, unresolved items and returned-file references. Verify how the recipient will access that information in their environment; do not presume that an export preserves every workflow feature.
