Practical checklist
What this article covers
A traceability log from an approved response to the affected model/views/sheets; do not issue professional RFI decisions.
An RFI response and an updated drawing are different deliverables. A handover log connects the exact response to the authorized production task, its affected outputs and the later implementation check.
Use this proposed log after the project has determined how the response should be acted on. It does not interpret contractual authority, approve substitutions or decide cost and time consequences.
Keep the question and response identities intact
Procore's RFI template guidance describes tracking requests, responses and status. This worksheet adds a production handoff view: what the drafter has been instructed to update, where and against which baseline.
Record the RFI identifier, response revision or date, attachments and the reference to the instruction authorizing the drawing work. If the answer is conditional or incomplete, retain that qualification.
Map one response to all assigned outputs
| Log field | What it should establish |
|---|---|
| RFI and response reference | Which answer the team is using |
| Production authorization | Who directed implementation and its scope |
| Affected locations | Model objects, views, sheets or schedule entries |
| Starting revision | Baseline to be updated |
| Assigned author | Person producing the change |
| Returned revision | Evidence of the implemented response |
| Reviewer result | Checked locations, outcome and unresolved items |
| Superseding response | Later answer and work that needs reconsideration |
Use multiple output rows under one response if needed. A single “implemented” label should not conceal that only one of several assigned locations has been updated.
Hypothetical example: a drawing reference changes
In this fictional handoff, response Q-032 confirms that a presentation key should refer to detail 4 instead of detail 3. The project lead directs an update to two identified sheets, without changing the detail's design.
The drafter records both affected callouts. One is updated in the returned package; the other remains unchanged. The reviewer marks the response partially implemented, identifies the remaining location and returns that action to the author.
When both are checked, the log records the exact returned revision. It does not describe the RFI response itself as newly approved by the drafter.
Coordinate markings without inventing authority
Autodesk's revision-cloud guidance describes marking changed design areas. Apply the project's agreed marking instructions to response-driven changes; the software mark does not establish that a response authorized them.
If an answer changes later, link the superseding response and reassess the affected work. Preserve the previous basis rather than silently replacing it in a completed record.
Hand over the evidence with the package
Use the drawing issue checklist for package-level review and the CAD/Revit transmittal checklist to identify exactly what was sent.
Nest's outsourcing quality-control guide provides broader review context. When discussing construction documentation support, separate answered questions ready for drafting from decisions the project team still needs to make.
